One workflow, scoped before it is built.

Every engagement starts from a written scope with acceptance examples, and ends with a handoff your team can run on its own.

What a scope contains

A real scope has the same sections as this sample. The business in it is fictional and every value is synthetic.

Sample scope: Harbor Street Movers intake

Synthetic sample, fictional business

Problem
Website requests are copied into the CRM by hand. Repeat messages create second records, and incomplete ones sit unanswered.
Systems
The website form and the CRM the team already pays for. Two systems, no new software.
Input
One website form submission: email, company, service and message.
Output
One CRM record per contact, marked for review, with a drafted reply a person approves before it is sent.
Acceptance examples
  • A new request creates one record awaiting review.
  • A second message from the same email, any capitals, joins the existing record.
  • A request without an email saves nothing and drafts a reply asking for one.
  • If the CRM refuses a write, the failure is visible and a retry saves the record once.
Exclusions
Sending replies automatically, migrating old records, reporting dashboards.
Ownership
Accounts stay with the business. Configuration and handoff documents are delivered to it.
Ongoing costs
The existing CRM subscription, billed by its provider. No new subscriptions.
Offer
Workflow sprint, starting at $2,500; the final price is set in the quote.

Delivery checklist

  • Field mapping agreed in writing before the build
  • Duplicate handling tested with a real-shaped example
  • Every failure shows up somewhere a person will see it
  • A review step where a person decides before anything reaches a customer
  • Each acceptance example run and checked with you
  • A walkthrough, and documents your team can edit

Ownership

Work happens in the tools and accounts your team already uses, with access you grant for the project.

The quote states who owns each account, the delivered configuration and the handoff documents before work starts.

Ongoing costs

Software subscriptions are separate from the price of the work and are billed by their providers.

The quote lists every ongoing cost the workflow depends on, so nothing appears later.

Support limits

What support follows acceptance, and for how long, is written into each quote before work starts.

New features and changes made by third-party tools are scoped separately.
